Guided implementation & onboarding

From signed order to live ERP.

A good rollout is mostly good decisions made early. This is the path we follow with you, and what to prepare so each step goes quickly.

The path

Six phases, one clear owner for each

  1. 1
    Discover

Map your processes, entities, users and the modules you need first.

  2. 2
    Configure

Company, chart of accounts, taxes, roles, numbering and print templates.

  3. 3
    Migrate

Bring customers, suppliers, products, opening stock and opening balances.

  4. 4
    Train

Role-based sessions using your own data and the documentation.

  5. 5
    Go live

Cut over on an agreed date with a checked trial balance.

  6. 6
    Support

Hypercare, then normal support and module roll-out.

Phase by phase

What happens in each phase

1. Discovery

We agree the scope: which companies and branches, which modules first, who the users are and what success looks like. You leave with a phased plan.

2. Configuration

Run the onboarding wizard: country, business type, company profile and modules. The country chart of accounts is installed and Accounting settings are mapped automatically. Then roles, numbering sequences and print settings.

3. Data migration

Load master data first (customers, suppliers, products), then opening stock and opening balances, then open invoices and bills. See the migration guides for the order and checks.

4. Training

Short sessions per role (accountant, buyer, storekeeper, sales, HR) on a copy of your real configuration, backed by the documentation for each screen.

5. Go-live

Freeze the old system, load final balances, check the trial balance and stock valuation agree, then open the doors to users.

6. Support & expansion

We stay close through the first period-end. Add modules from the App Store as the business is ready.
Prepare

What to bring to the first session

  • A list of legal entities, branches and warehouses
  • Your current chart of accounts and tax setup
  • Customer, supplier and product lists (spreadsheets are fine)
  • Opening balances at the cut-over date and open invoices and bills
  • Names and roles of the people who will use the system
  • The three processes that hurt most today

FAQ

Implementation questions

How long does an ERP implementation take?

It depends on scope: the number of modules, companies, users and how much historical data you bring. A small company starting with Accounting and Inventory can be configured quickly; a multi-company group needs a phased plan. We agree the timeline with you after discovery rather than quoting a number up front.

Can we start with a few modules and add more later?

Yes. Every workspace starts with Dashboard, Administration and App Store, and you install other modules from the App Store when you are ready. Dependencies are checked for you.

What does the onboarding wizard do?

It asks for your country, business type and company details, lets you pick modules, then installs the country chart of accounts, maps the Accounting settings and installs the modules, so you do not start from an empty system.

Do we have to migrate historical data?

No. Many companies go live with opening balances and open items only. Historical detail can stay in the old system for reference.

Who does what?

You own decisions about your processes and data. Xetuu helps configure the system, advises on migration and supports your team through go-live. Scope and responsibilities are agreed in writing before work starts.
